The Texas Association of Community Health Centers (TACHC) needed a more streamlined way to support its 80+ organizational members, representing more than 700 clinic sites and 16,000 employees, with over 1,000 users actively engaging on its member portal. With AC MemberSmart, TACHC introduced a modern, centralized platform where health center staff can register for events, manage organizational information, and participate in discussions – all in one place.

Background & Project Objectives

TACHC represents health centers that provide primary care across Texas. Their previous membership system supported many core functions but wasn’t designed for the level of flexibility of members’ needs today. When health center employees wanted to register for training events, they had to wait for staff to manually verify their membership. Clinic managers couldn’t update their own organization’s information or manage their team’s accounts without calling TACHC. Members juggled different logins for conferences, online training courses, and the member website.

TACHC needed to:

Automatically recognize health center employees and give them instant member access

Connect their conference system, and online learning courses in one place

Stop manually tracking who attended events

Let clinic managers handle their own organization updates and team member accounts

Help Texas residents find nearby community health centers on a public map

Our Approach & Solution

Advanced Communities implemented an AC MemberSmart-based association management system (AMS) on the Salesforce Experience Cloud, migrating all legacy data from TACHC’s former AMS and extending the platform with custom functionality for health care-specific workflows. The new AMS system recognizes when someone works at a health center and automatically gives them access. It connects TACHC’s in-person conferences, video meetings, and online courses so members see everything in one calendar. When members attend events, the system tracks their attendance. Clinic managers can now update their information, view bills, and manage their staff without contacting TACHC.

Benefits & Results

The Texas Association of Community Health Centers (TACHC) needed a more streamlined way to support its 80+ organizational members, representing more than 700 clinic sites and 16,000 employees, with over 1,000 users actively engaging on its member portal.  Members can now register themselves and manage their profiles, while clinic administrators have full control over their organization’s information and team accounts. This system has eliminated repetitive administrative work for TACHC staff, allowing them to focus on supporting the health center community.

 

Instant Membership Access

Health center employees now get immediate membership access when they register with their work email. The system recognizes their organization and automatically approves them. This eliminated the manual verification process that previously kept new members waiting for staff approval.

 

One Place for All Events

Members browse upcoming conferences, video sessions, and online courses in a single calendar. When they register for a video meeting, the system automatically adds them to the meeting and sends them the connection details. When they purchase an online course, the system gives them access to the learning platform. Everything connects behind the scenes so members only need one login.

Complete Data Migration

We moved all member records, health center information, clinic locations, event history, payment records, and membership data from TACHC’s old system to the new website. Members found their complete history already waiting for them when they logged in for the first time: years of registrations, payments, and education credits all accessible in their profile.
