Black Health needed a centralized platform where internal staff and community partners could collaborate on grant-funded health programs, track deliverables, and manage events end-to-end. With Advanced Communities on Salesforce Experience Cloud, the organization launched a custom Partner Portal that connects teams, streamlines accountability, and powers health education outreach across the United States.

Background & Project Objectives

Black Health is a New York-based nonprofit on a clear mission: improve the health outcomes of the Black community across the US and beyond. They do this through a broad network of community partners: faith leaders, local advocates, health educators, who deliver workshops, trainings, and outreach programs on everything from COVID-19 to health insurance. The funding comes from government grants and private sources, and those grants come with real accountability requirements. As the partner network and program portfolio expanded, Black Health’s existing setup could no longer keep up. There was no unified system connecting internal staff with external partners, grant tracking was fragmented, and there was no structured way for partners to report on activities or for staff to review and approve them.

The organization needed a solution that would:

• Bring grants, programs, partner tasks, and events into one connected system. No more switching between tools

• Stop assigning deliverables manually. Automate the process so nothing falls through the cracks

• Make sure every partner event goes through a proper review, before it happens and after, so the team can stand behind the results

• Give leadership a live view of how grants and programs are tracking, without waiting for someone to pull a report

• Let partners manage their own work so staff aren’t fielding constant status requests

• Keep financial data visible only to the people who need to see it.

Our Approach & Solution

Advanced Communities implemented a Salesforce Experience Cloud-based partner portal powered by AC Events Enterprise, extended with custom objects, flows, and approval processes to support Black Health’s core operational model: grants flowing into programs, programs driving deliverables, and deliverables completed through partner-led events. The result is a fully integrated system where every layer of the organization, from grant management to partner reporting, operates within a single connected platform. Where everything is connected, every action leaves a trail, and the team always knows where things stand.

Partner Portal

A clean, branded five-page portal where partners can see their tasks, submit events, register for trainings, and reach out to the team: all on their own, without needing to call or email staff to figure out what they should be doing.

 

A Full Enterprise Event Management Layer Powered by AC Events Enterprise

Workshops, meetings, outreach sessions, trainings: each with its own structure and rules. Partners can create events, add co-hosts, link them to deliverables, and attach evidence. Staff can assign funding once an event wraps up.

 

Two-Stage Event Approval

Every event goes through a review before it happens and again after it’s done. Staff can approve, reject, or request changes at each stage. The whole chain is logged, so there’s always a clear record of what happened and who signed off.

 

Grant Management

Staff can create and manage grant records with all the details that matter: funding source, linked programs, financials, with sensitive data kept strictly to those who need it. Everything in one place, properly locked down.

 

Program Management

Programs are linked directly to grants and include custom status tracking, partner association, and deliverable lists, visible to internal staff only, with role-based access to financial fields.

 

Automated Deliverable Assignment

One button press and every partner on a program gets their personal deliverables assigned automatically, with an instant notification. What used to take hours of manual work now takes seconds.

Dashboards & Reports

Events That Are Governed, Not Just Logged

Personal Deliverables are automatically assigned and visible from the moment they log in, with no ambiguity about tasks or deadlines. Partners can create and submit event records, attach evidence, and track the status of approvals: all without needing to contact internal staff for basic updates.

Internal staff can approve or reject submissions with feedback, and the full approval chain is logged for audit purposes. This gives Black Health confidence that grant-funded activities meet program requirements before funds are allocated.

Every partner activity is now tied back to a specific grant and program, with a documented approval trail. When it’s time to report to funders, the evidence is already there, not something the team has to scramble to pull together at the last minute.

 

Leadership Always Knows Where Things Stand

Instead of waiting for a weekly update or pulling a report, the team has a live dashboard showing grant progress, program health, and how individual partners are tracking. If something is slipping, they can see it early and act on it.

 

Controlled Data Access 

Sensitive financial information is accessible only to authorized internal users. Partners see only what is relevant to them: their own deliverables, their own events, while internal staff have full cross-program visibility. This role-based structure ensures compliance without creating friction for everyday users.

 

A Network That Grows Without The Workload Growing With It

When Black Health brings on new partners, the process doesn’t get heavier. Deliverables are assigned automatically, onboarding notifications go out without anyone lifting a finger, and staff only need to get involved when there’s a real decision to make, not a routine task to complete.

 

Less Back-and-Forth, More Actual Work

Partners now have everything they need in their own portal: their tasks, their events, their history. Staff aren’t fielding constant status requests. Notifications go out automatically at each stage. The team gets time back to focus on things that matter.

“Before the portal existed, we were sending multiple messages to partners, sometimes individually, and other times, to the entire group on a weekly basis. Emails were coming from three different points-of-contact and sometimes even four if we add a representative from the Data Team. Partners would also reach out incessantly via email and phone with questions about everything from programming to data, invoices, and reimbursement. Currently, we rely on the chatter feature; however, the partners are still learning how best to navigate the platform and its tools.”
